Wendover Studio is seeking a highly organized and proactive Office & Executive Assistant to support our Design Principal and help ensure the smooth day-to-day running of our Rotterdam and London studios.
This is a full-time, primarily in-office role based in Rotterdam, with a minimum of four days per week in the office.
About the Role
This is a varied and hands-on position suited to someone who enjoys balancing executive support, office operations, HR coordination, and administrative management within a creative studio environment. You will work closely with the Design Principal and wider team, playing a key role in keeping both studio operations and internal processes running efficiently.
We are looking for someone who is professional, discreet, personable, and adaptable, with a genuine interest in architecture and design.
Requirements
3–5 years' experience in a personal assistant, executive assistant, or office administration role (ideally in a creative or professional services environment)Highly organized, detail-oriented, and able to manage multiple prioritiesProactive, practical problem solver with a hands-on approachProfessional, discreet, and confident communicatorStrong interest in architecture and designComfortable with everyday office systems and tools (Mac/PC, Microsoft Teams, Zoom, Google Workspace, etc.)Quick to learn new systems; experience with tools like Xero is a plus but not essentialAble to work full-time in Rotterdam, with at least 4 days a week in the office
Responsibilities
Provide PA support to the Design Principal, including calendar management, meeting coordination, travel arrangements, and general administrative support (including some personal arrangements where needed)Manage office administration systems, including server and document organization, shared calendars, and basic project coordinationSupport HR processes across Rotterdam and London, including onboarding/offboarding, staff records, recruitment admin, and performance review coordinationCoordinate CPD planning and training initiatives for both studiosOrganize and support internal meetings and communicationsOversee office operations in Rotterdam, including supplies, housekeeping, and coordination with the London officeProvide basic IT coordination and troubleshooting supportSupport finance and payroll administration, including expenses, invoices, receipts, payroll preparation, and liaison with accountantsTrack subscriptions, renewals, and key administrative deadlinesOrganize staff travel and related logisticsMaintain internal documentation, including office handbook and HR records
